Confluence Standard Operating Procedure


 

Executive Overview

ONC Confluence is operated in conjunction with the current instance of ONC JIRA, and shares the same resources and practices for technical support (see SOPs and SLAs below). ONC Confluence relies on ONC JIRA for user management and troubleshooting support. ONC Confluence Users must have an ONC JIRA account. User groups are set up for each Confluence space within ONC JIRA, and are linked to Confluence through back-end processes.

ONC Confluence employs global, space, and page-specific access controls. Global permissions are site-wide permissions, and can only be assigned by the ONC JIRA team. Furthermore, each space has an independent set of permissions, which is managed by the individual space administrators. Space permissions can be used to allow specific users or groups of users to view, add, edit, and delete content within that space. Space permissions are also used to set what is visible/editable by anonymous users. By default, pages are open to viewing and editing by all users that have access to the space. However, space administrators can restrict either viewing or editing to certain users or user groups if necessary.

Confluence Standard Operating Procedures

Requesting a New Confluence Space

  • The requester will log in to ONC JIRA with your JIRA credentials
  • The requester will navigate to the ‘Confluence Issue Tracker’ project
  • The requester will create an issue with the issue type “New Space Request”
  • The requester will fill out the form with the following details:
    • Name of proposed space
    • Name of ONC Sponsor and Division
    • Approximate number of members
    • Names and emails of administrators
    • Names and emails of members
  • When the request is received and submitted as a ticket, the requester will automatically receive a confirmation email
  • The ONC lead will approve or deny the request, and Confluence permissions are given to the requester upon approval if the requester does not already have one
  • With ONC lead approval, the ONC JIRA team creates a new Confluence space with default settings, unless a custom setting is requested
  • The requester is notified upon space creation and customization completion

Requesting New Users to your Confluence Space

  • The requester will log in to ONC JIRA with your JIRA credentials
  • The requester will navigate to the ‘Confluence Issue Tracker’ project
  • The requester will create an issue titled “Adding new users to [Confluence Space Name]”
  • The requester will provide full names (first, last) and email addresses of all desired users and indicate different permission levels (if necessary)
  • When the request is received and submitted as a ticket, the requester will automatically receive a confirmation email
  • The ONC JIRA team will add users and create new ONC JIRA accounts for those who did not previously have accounts
  • The requester is notified upon completion of the request

Reporting Issues

  • The requester will log in to ONC JIRA with your JIRA credentials
  • The requester will navigate to the ‘Confluence Issue Tracker’ project
  • The requester will create an issue ticket and provide a detailed description of the issue
  • When the request is received and submitted as a ticket, the requester will automatically receive a confirmation email
  • The ONC JIRA team will work to address the issue and comment on the ticket for clarification and feedback when necessary
  • The requester is notified when the issue has been resolved for solution review
